RFP response vs. proposal, and what RFP software should do.
An RFP response answers a buyer's structured request, question by question, with pricing in their format. A proposal is your own document making the case. Teams that answer many RFPs use software to reuse answers and keep pricing consistent.

RFP software pricing varies by seats, content library size and AI features; compare on a real RFP and ask vendors for current pricing.
Test on one of your own sets.
Pick a representative bid
One you already priced, with an addendum if possible.
Run it in each tool
Time takeoff and review separately.
Compare outputs
Counts, lengths, flagged items and how fast you can verify them.
Check the handoff
How approved quantities reach your pricing.
From plan set to reviewed quantities.
AI-powered, human-approved. Each stage records what ran, what changed and who approved it.
Start with your bid package
Drawings, specs and addenda together: the plan set, legends and schedules, the spec sections for your scope and any addenda.
AI proposes quantities
Counts, lengths and areas come back with the source sheet and location attached to every row.
Estimator review
Low-confidence items surface first. Your estimator accepts, corrects or rejects each one.
Map to your assemblies
Approved quantities map to your items, assemblies and estimating assumptions.
Price reviewed rows
Labor units, material pricing and supplier quotes apply only to rows that passed review.
Hand off with evidence
Approved quantities move on to pricing and visual CPQ with the evidence trail still attached.

What we checked (November 2026)
- Compliance matrix: a common buyer requirement. It maps each "shall" statement in the RFP to the section of your response that answers it. Build it from the RFP itself, before you write.
- Federal RFPs are negotiated procurements under FAR Part 15. FAR 15.204-1 sets out the uniform contract format, in which Section L gives the instructions to offerors and Section M gives the evaluation factors. Organize your response to mirror L and M.
- Pricing format: if the RFP includes a price schedule or bid form, fill it in exactly as issued. Put alternates and clarifications where the RFP allows them, not in the base price.
- RFP software prices are mostly quoted. Compare them on one real RFP. Measure the hours to first draft and the hours of review.
The AI drafts. Your estimator decides.
Speed is easy to promise. Defensible numbers are the job, so RenderDraw keeps the estimator in control of every quantity that gets priced.
- Source on every row. Each quantity keeps its source sheet, location and reviewer decision.
- Lowest confidence first. The review queue shows the drawing tile with the detection highlighted and the extracted value.
- Uncertain items flagged, not hidden. Anything the AI can't confirm goes to the estimator rather than being guessed.
- Nothing priced before approval. Rows move on to pricing only after they are accepted.

Questions estimators ask
What is the difference between an RFP response and a proposal?
A response follows the buyer's RFP structure; a proposal is your own document. Many RFPs require both.
How much does RFP software cost?
It varies by vendor and seats; ask for current pricing.
Are there RFP templates?
RenderDraw offers RFP pricing workbook, response checklist and clarification log templates.
Does RenderDraw write RFP responses?
No. RenderDraw's product focus is AI takeoff with estimator review and handoff to pricing and visual CPQ. It publishes free RFP templates (pricing workbook, response checklist, clarification log), but your team writes and approves the response.
