RFP response cover letter template
A cover letter is the first page an evaluator reads. This template gives you the blocks in order with bracketed wording to edit, and a pre-send sheet that catches the mistakes that get responses marked down: wrong RFP number, missing addenda, unauthorized signer, page limits and unsupported claims.
- Block-by-block wording
- RFP reference and addenda
- Authorized signer
- Pre-send checks

Three jobs in one page
An RFP response cover letter (or transmittal letter) does three jobs. It confirms you are responding to the right solicitation, with the right number, addenda and authorized signer. It tells the evaluator in a paragraph that you understand what they need. And it points to the two or three reasons to choose you, each of which should be supported in the body of the response. Anything longer belongs in the executive summary.
RFP response cover letter template (XLSX + CSV)
No email required. The Excel file has working formulas, drop-downs and a "How to use" tab. The CSV holds the main sheet for import into other tools. Example rows are synthetic; replace them with your job.
What's inside
- Cover letter. 2 columns.
- Pre-send checks. 2 columns, drop-down lists.
How to use it
- Keep the letter to one page unless the RFP asks for more.
- Mirror the buyer's language and evaluation criteria.
- Every claim in the letter should be backed somewhere in the proposal.

The blocks
Addressee and reference
Contact named in the RFP, organization, RFP title and number exactly as written.
Opening
One sentence stating that you are submitting a response, and that it is complete and compliant.
Understanding
Two or three sentences restating the buyer's objective in their words.
Approach and differentiators
Two or three specific reasons, each pointing to a section of the response.
Compliance and addenda
Acknowledge every addendum by number; note any exceptions and where they are.
Contact and signature
Primary contact and a signer authorized to bind the company, per the RFP instructions.
The five that matter most
- Addressee and RFP number match the solicitation exactly.
- Every addendum acknowledged.
- Signatory authorized per the RFP instructions.
- Letter length within any page limit.
- Claims in the letter appear, with evidence, in the proposal body.
When it is not a cover letter
Some solicitations ask for a "response letter" or "letter of transmittal" with specific contents, or a formal letter of intent before the response. Follow the instructions literally; use this template only where the RFP leaves the format to you.
If the RFP includes drawings, RenderDraw's AI takeoff proposes the quantities behind your price for estimator review, and approved quantities hand off to pricing and visual CPQ. The letter and the response stay with your team.
From bid package to reviewed quantities.
RenderDraw's part of a bid or RFP is the takeoff: AI proposes quantities from the drawings, your estimator reviews them, lowest confidence first, and approved quantities hand off to pricing and visual CPQ. Requirement tracking, the compliance matrix and the written response stay with your team.
- AI takeoff. Quantities proposed from the drawing set, with the source sheet attached.
- Estimator review. Lowest-confidence items first; nothing moves on until it is accepted.
- Pricing handoff. Approved quantities move on to pricing and visual CPQ.
- Free sample. Send one plan set and compare the result with your own takeoff.

Test one bid
Send the drawings from a recent RFP or bid. Turnaround depends on the size and quality of the set.
RenderDraw does not publish accuracy percentages or time-saved claims. Test it on your own plan set.
Questions estimators ask.
What should an RFP cover letter include?
The RFP title and number, the addressee named in the RFP, a short statement of understanding, two or three differentiators tied to the response, addenda acknowledgment, exceptions if any, and an authorized signature.
How long should an RFP cover letter be?
One page is typical. Follow any page limits in the RFP.
Is the template free?
Yes. Download the XLSX or CSV with the wording blocks.
What is the difference between a cover letter and an executive summary?
The cover letter is a short transmittal. The executive summary is a fuller argument for selecting you, inside the response.
Can RenderDraw help with RFP responses?
With the takeoff behind your price, not the writing. RenderDraw's AI takeoff proposes quantities from the RFP drawings for estimator review, and approved quantities hand off to pricing and visual CPQ. Book a demo.
Spend the time on the win themes, not the paperwork.
