Bid board template (XLSX + CSV)

No email required. The Excel file has working formulas, drop-downs and a "How to use" tab. The CSV holds the main sheet for import into other tools. Example rows are synthetic; replace them with your job.

What's inside

  • Bid board. 13 columns, drop-down lists, built-in formulas.
  • Dashboard. 2 columns.

How to use it

  • One row per invitation, even if you no-bid it; that is how you learn your hit rate.
  • Status and Result use drop-downs so the dashboard can count them.
  • Days left recalculates from today each time you open the file.

What a bid board is for

Deciding where estimators spend time

A bid board is more than a calendar. It is how an estimating manager decides which jobs get estimator hours. A good board shows what is due, who owns it, whether it passed your bid/no-bid screen, whether addenda are in, and what happened after submission. Over time it becomes your best data on hit rate by client, project type and size.

  • Project, client, due date. Days left is a formula, so the board sorts itself by urgency.
  • Estimator and status. Invited, Reviewing, Takeoff, Pricing, Submitted, Won or Lost, with a Result column for the outcome.
  • Bid/no-bid score. From your scoring matrix.
  • Addenda received. A count you update; check it before submission.
  • Submitted amount and result. For hit rate and pipeline value.
Record no-bids too. Knowing why you passed on a job is as useful as knowing why you lost one.
The dashboard

What a manager checks Monday morning

The Dashboard sheet summarizes open bids, bids due in the next seven days, bids submitted, bids won, won dollars and hit rate (won ÷ decided). It uses COUNTIF and SUMIF formulas over the board, so it stays current as you edit rows.

Log invitations

Add every invite, even ones you will decline.

Score and assign

Run bid/no-bid and assign an estimator.

Track addenda

Update the count and re-check scope when one arrives.

Record results

Submitted value, result and, if known, the winning number.

More bids, same team

Where RenderDraw fits

The constraint on most bid boards is estimator time. RenderDraw's AI takeoff proposes quantities from plan sets with their sources and flags, and RenderDraw's bid workflows support intake and bid/no-bid decisions, so the team can cover more of the board.

Where RenderDraw fits

Spend your hours on scope and price, not re-counting.

RenderDraw's AI takeoff reads drawings, schedules and specs, proposes quantities with the source sheet attached, and holds uncertain items for estimator review before anything is priced.

  • Source on every quantity. Each count, length and area keeps its source sheet and location.
  • Lowest confidence first. The review queue puts the items most likely to be wrong at the top.
  • Addenda through the same review. Send the changed sheets through takeoff and estimator review, then reprice what moved.
  • Approval before pricing. Nothing moves on to pricing until an estimator accepts it.

Send one plan set

Pick a real job with an addendum. Sample files stay private while RenderDraw assesses the request, and there is no obligation to proceed.

RenderDraw does not publish accuracy percentages or time-saved claims. Test it on your own plan set.

FAQ

Questions estimators ask.

What is a construction bid board?

A list of bid opportunities with due dates, owners, status and outcomes, used to manage estimating workload and track results.

Is this bid board template free?

Yes. Download the XLSX or CSV.

How is days left calculated?

Due date minus today's date, using the TODAY() function, so it updates whenever you open the file.

How do I calculate win rate?
