Free template · Takeoff export cleanup

Export your takeoff to Excel, then make it usable

Every takeoff tool can get your measurements into a spreadsheet. The work starts after: subjects named three different ways, units mixed, pages unlabeled. This page covers the common export paths and gives you a cleanup template that maps raw rows to cost codes.

  • Bluebeam Markups List export
  • PlanSwift and OST exports
  • Paste-in raw sheet
  • Normalized rows by cost code

Getting measurements out

The exact menus change between versions, so check your software's documentation, but the patterns are consistent.

Bluebeam Revu

Open the Markups List, filter or sort to the measurements you want, and use the export option to write a CSV or a summary to Excel. Custom columns you add to the Markups List come along with the export. Some Revu editions also offer a live link from measurements to Excel cells; check whether your edition includes it.

PlanSwift

Takeoff items and their properties can be exported to Excel, and PlanSwift's reporting can send item totals to a spreadsheet. Keep item names consistent so rows group cleanly.

On-Screen Takeoff

OST condition totals can be exported to Excel or passed to its companion estimating software. Name conditions with the cost code in mind.

Any PDF tool

If all else fails, a markup summary as CSV is enough: subject, page, measurement, unit. The cleanup template takes it from there.

Name markups for the export. The single most useful habit is a naming convention for subjects or conditions, such as "09 21 16 | W1 | Partition," so exported rows map to cost codes without manual work.

Takeoff export cleanup template (XLSX + CSV)

No email required. The Excel file has working formulas, drop-downs and a "How to use" tab. The CSV holds the main sheet for import into other tools. Example rows are synthetic; replace them with your job.

What's inside

  • Raw export (paste). 7 columns.
  • Normalized. 8 columns, drop-down lists.

How to use it

  • Paste the CSV or XLSX export from Bluebeam Markups List, PlanSwift, or On-Screen Takeoff into the raw sheet.
  • Map each subject or condition to your cost code once; reuse the map on the next job.
  • Copy normalized rows into your estimate; never re-key quantities by hand.

Cleaning the export

Raw rows to cost codes

Paste

Paste the raw export into the Raw export sheet: subject or condition, page label, measurement, unit, layer, comments.

Map

Add the cost code for each subject in the "Map to cost code" column, once per subject.

Normalize

The Normalized sheet groups by cost code and description with totals per unit.

Check

Compare totals to the takeoff tool's own summary before pricing.

Common problems

And how to avoid them

  • Mixed units. LF and SF in the same subject. Split them into separate subjects.
  • Unlabeled pages. Rows that say "Page 37" instead of "A2.1." Label pages before exporting.
  • Duplicates. Copies of markups on revised sheets. Remove superseded sheets first.
  • Lost context. Exports drop the drawing. Keep the page label so every row can be traced.

Where RenderDraw fits

RenderDraw works alongside tools like Bluebeam. Its AI takeoff proposes quantities with the source sheet attached for estimator review, and approved quantities hand off to pricing and visual CPQ, so much of the export-and-clean step becomes a review step.

Where RenderDraw fits

Keep your tools. Stop re-keying between them.

RenderDraw's AI takeoff proposes quantities from your drawings with the source sheet attached, routes uncertain items to estimator review, and hands approved rows on to pricing and visual CPQ.

  • Proposed quantities with sources. Counts, lengths and areas tied to sheet and location.
  • Review before pricing. Lowest-confidence items first.
  • Pricing handoff. Approved rows carry their evidence trail.
  • Addenda through the same review. Send the changed sheets back through takeoff and estimator review.
