Subcontractor bid checklist before submitting

Fifteen checks that keep a good number from being thrown out on a technicality or misread by the GC: bid form, addenda, scope, inclusions, exclusions, alternates, qualifications, schedule, bonds, taxes, traceable quantities, price sanity check, quote validity, deadline and contact.

  • 15 pre-submit checks
  • Scope and exclusions
  • Addenda and deadline
  • Traceable quantities

Why subs lose good bids

It is often not the price

Subcontractor bids get set aside for reasons that have nothing to do with the number: a missing addendum acknowledgment, a scope that does not match the GC's bid package, exclusions buried in fine print, or a bid that arrives after the deadline in the GC's time zone. GCs level bids quickly on bid day, and a bid that is hard to compare tends to lose to one that is easy to compare.

Subcontractor bid checklist (XLSX + CSV)

No email required. The Excel file has working formulas, drop-downs and a "How to use" tab. The CSV holds the main sheet for import into other tools. Example rows are synthetic; replace them with your job.

What's inside

  • Before you submit. 4 columns, drop-down lists.

How to use it

  • Run the list on every bid, even the rushed ones.
  • Anything marked No becomes a qualification or a call to the GC before the deadline.
  • Save with the bid so post-bid scope reviews go faster.

What GCs look for

  • Format. The GC's bid form, filled as asked.
  • Scope match. The same scope description as the bid package.
  • Explicit inclusions and exclusions. Plain language, near the top.
  • Alternates and unit prices. Priced if requested.
  • Qualifications tied to documents. Drawing dates and spec sections.
  • Availability after bid. Someone who can answer scope questions quickly.
Trace every quantity. After the bid, the GC will call to confirm scope. Quantities traced to sheets let you answer in minutes and defend your number.

Where RenderDraw fits

RenderDraw's AI takeoff proposes quantities from the plan set with their sources and flags, which speeds up the takeoff and gives you the traceability the last checks require.

Where RenderDraw fits

Spend your hours on scope and price, not re-counting.

RenderDraw's AI takeoff reads drawings, schedules and specs, proposes quantities with the source sheet attached, and holds uncertain items for estimator review before anything is priced.

  • Source on every quantity. Each count, length and area keeps its source sheet and location.
  • Lowest confidence first. The review queue puts the items most likely to be wrong at the top.
  • Addenda through the same review. Send the changed sheets through takeoff and estimator review, then reprice what moved.
  • Approval before pricing. Nothing moves on to pricing until an estimator accepts it.
