Validate drawings before you estimate

An hour spent checking the drawing set saves days of rework. Run this 15-point checklist before the first measurement: sheet index, revisions, addenda, scales, schedules, tags, specs, details, dimensions and conflicts, with columns for the sheet reference and an RFI number.

  • 15 checks

Why validate first

Bad inputs, confident numbers

Most estimating errors are not math errors. They are input errors: a missing sheet, a superseded revision, a half-size print measured at full scale, a door tag with no schedule entry, a detail referenced but never drawn. Each one produces a confident, wrong number. Validating the set first turns those into questions you ask before bid day instead of change orders after award.

Drawing validation checklist before estimating (XLSX + CSV)

No email required. The Excel file has working formulas, drop-downs and a "How to use" tab. The CSV holds the main sheet for import into other tools. Example rows are synthetic; replace them with your job.

What's inside

  • Checklist. 6 columns, drop-down lists.

How to use it

  • Run this before the first quantity is taken; a missing sheet found on bid day costs more than a slow start.
  • Every "No" should become an RFI or a qualification in your bid.
  • Keep the completed checklist with the bid file.

1Sheet index matches the sheets received (no missing pages)
2Every sheet shows the same issue date / revision as the bid set
3All addenda received and logged; superseded sheets marked
4Scales are stated and graphic scale bars measure correctly

Findings to RFIs

Run it at intake

Before anyone starts measuring.

Record the sheet

Every finding gets a sheet or spec reference.

Raise RFIs

Number each one and log it in the RFI column.

Qualify the bid

Anything unresolved becomes a stated assumption.

Where RenderDraw fits

RenderDraw's AI takeoff proposes quantities from plans and schedules with the source sheet attached and flags unclear items for review; your team decides which become RFIs.

Where RenderDraw fits

Spend your hours on scope and price, not re-counting.

RenderDraw's AI takeoff reads drawings, schedules and specs, proposes quantities with the source sheet attached, and holds uncertain items for estimator review before anything is priced.

  • Source on every quantity. Each count, length and area keeps its source sheet and location.
  • Lowest confidence first. The review queue puts the items most likely to be wrong at the top.
  • Addenda through the same review. Send the changed sheets through takeoff and estimator review, then reprice what moved.
  • Approval before pricing. Nothing moves on to pricing until an estimator accepts it.

FAQ

Questions estimators ask.

What should I check before estimating?

Sheet index, revision dates, addenda, scales, legibility, legends, schedules, tag matching, spec sections, referenced details, dimensions, discipline conflicts, alternates, trade responsibilities and existing conditions.

Is the checklist free?

Yes. Download the XLSX or CSV.

How long does drawing validation take?

It depends on the set. On most bids it is a small fraction of the takeoff time and prevents much larger rework.

What do I do with findings?

Raise RFIs before the question deadline, and state unresolved items as assumptions in your bid.

Can RenderDraw flag drawing problems?

RenderDraw's AI takeoff flags items it could not confirm, such as unmatched tags, for estimator review. Get a free sample takeoff.

Start small

Let the set get checked while you plan the bid.

Send a set. RenderDraw reads the sheets, proposes quantities and flags unclear or low-confidence items for review.

  1. Upload the plans, specs and schedules, plus an addendum if you have one.
  2. RenderDraw reviews the set and the scope you want tested.
  3. We follow up with extracted quantities, flagged items and next steps.
