Construction cost estimate template (Excel) (XLSX + CSV)

No email required. The Excel file has working formulas, drop-downs and a "How to use" tab. The CSV holds the main sheet for import into other tools. Example rows are synthetic; replace them with your job.

What's inside

  • Estimate. 14 columns, totals row, built-in formulas.
  • Markups. 3 columns.

How to use it

  • One line per cost item, organized by cost code (MasterFormat or your own).
  • Keep the source sheet on every line so the number can be defended.
  • Markups compound in the order shown; change the order if your company does it differently.

Built like an estimate

Quantity × unit cost, by cost code

Every construction estimate reduces to quantities times unit costs, organized by cost code. This template puts each line on a row with material, labor and equipment or subcontract costs split out, because they behave differently: material is quoted, labor depends on production and wage, and subs are quoted lump sums. The markups sheet applies general conditions, overhead, contingency, profit and bond or insurance to the direct cost.

  • Cost code and description. Use CSI MasterFormat divisions or your own codes.
  • Qty, unit, waste. From the takeoff.
  • Material. Unit cost × quantity × (1 + waste).
  • Labor. Hours per unit × quantity × rate.
  • Equipment / sub. Lump sums or unit prices.
  • Markups. Percentages on the Markups sheet, applied to the direct total.
Keep quantities in one place. Link or paste quantities from the takeoff rather than retyping them. Retyped quantities are the most common source of spreadsheet errors.
Project-management estimates

Budget vs bid

The same structure works for budget estimates in project management: early lines use allowances and parametric unit costs, later ones use takeoff quantities. Keep an "estimate type" note on the sheet (conceptual, budget, bid) so readers know how much to trust it.

Set cost codes

Copy your company code list into the Cost code column.

Paste quantities

From your takeoff.

Price

Material, labor, equipment and subs.

Mark up

Overhead, profit, bond, contingency.

Beyond Excel

Where RenderDraw fits

Excel is flexible but brittle at scale. RenderDraw's AI takeoff proposes quantities with their source for estimator review, and approved quantities hand off to pricing and visual CPQ, while you keep the spreadsheet as long as it serves you.

Where RenderDraw fits

Spend your hours on scope and price, not re-counting.

RenderDraw's AI takeoff reads drawings, schedules and specs, proposes quantities with the source sheet attached, and holds uncertain items for estimator review before anything is priced.

  • Source on every quantity. Each count, length and area keeps its source sheet and location.
  • Lowest confidence first. The review queue puts the items most likely to be wrong at the top.
  • Addenda through the same review. Send the changed sheets through takeoff and estimator review, then reprice what moved.
  • Approval before pricing. Nothing moves on to pricing until an estimator accepts it.
