Guide

How estimating software works, step by step.

Every estimating system does the same four things: get quantities, apply prices and labor, add markups, and produce output. Tools differ in how much of each they automate and how well the steps connect.

Send one plan set. See what the AI extracts and what it flags for review. No obligation.

The flow

Four steps every tool follows.

Quantities

Manual takeoff, digitizer, model or AI-proposed from drawings.

Pricing

Material prices and labor units from databases or price books.

Markups

Overhead, profit, contingency, taxes, bonds.

Output

Bid forms, proposals, then billing (SOV) after award.

Trade estimating software emphasizes trade-specific databases and assemblies; enterprise estimating adds multi-user collaboration, standards, approvals and integration.

What gets taken off

The quantities a trade estimator actually needs

These are the items RenderDraw proposes from the drawings, each linked to the sheet it came from, for your estimator to accept, correct or reject.

ItemWhat is measured or countedWhere it comes from
CountsSymbols, devices, fixtures and doors against the legendPlans, legends, schedules
LengthsWalls, runs, edges and linear itemsPlans, details
AreasRooms, finishes, roofs, pavingPlans, finish schedules
VolumesConcrete, earthwork, fillSections, schedules
Scope itemsRequirements, exclusions and alternatesSpecs, general notes, addenda
How it works

From plan set to reviewed quantities.

AI-powered, human-approved. Each stage records what ran, what changed and who approved it.

Start with your bid package

Drawings, specs and addenda together: the plan set, legends and schedules, the spec sections for your scope and any addenda.

AI proposes quantities

Counts, lengths and areas come back with the source sheet and location attached to every row.

Estimator review

Low-confidence items surface first. Your estimator accepts, corrects or rejects each one.

Map to your assemblies

Approved quantities map to your items, assemblies and estimating assumptions.

Price reviewed rows

Labor units, material pricing and supplier quotes apply only to rows that passed review.

Hand off with evidence

Approved quantities move on to pricing and visual CPQ with the evidence trail still attached.

Supported files and tasks depend on your trade and implementation. Confirm them in the free sample run.

Fact check

What we checked (November 2026)

  • Cost structure: most estimating systems organize costs by CSI MasterFormat, which has 50 divisions numbered 00 to 49 (for example 09 for finishes, 26 for electrical). Some also use UniFormat elements for early, system-based estimates.
  • Labor units: trade systems ship with labor databases. Examples include the MCAA labor units used in mechanical estimating and NECA's Manual of Labor Units for electrical. These are starting points to calibrate against your job-cost history, not targets.
  • Estimate classes: AACE International's classification (Class 5 conceptual through Class 1 definitive) describes how detailed and accurate an estimate should be at each design stage.
How a line is built (illustrative)
quantity (from takeoff) x assembly (material items + labor units) x labor rate + material price e.g. 1,200 LF 3/4" EMT x 4.0 hr/100 LF = 48 hr x $85/hr = $4,080 labor (units and rate are illustrative)
Human review, by design

The AI drafts. Your estimator decides.

Speed is easy to promise. Defensible numbers are the job, so RenderDraw keeps the estimator in control of every quantity that gets priced.

  • Source on every row. Each quantity keeps its source sheet, location and reviewer decision.
  • Lowest confidence first. The review queue shows the drawing tile with the detection highlighted and the extracted value.
  • Uncertain items flagged, not hidden. Anything the AI can't confirm goes to the estimator rather than being guessed.
  • Nothing priced before approval. Rows move on to pricing only after they are accepted.

FAQ

Questions estimators ask

How does estimating software work?

It turns quantities into priced estimates using databases of prices and labor, applies markups and produces output.

What is estimate writing software?

Software focused on producing the estimate document or proposal.

What about billing?

After award, estimates feed schedules of values and billing.

Where does AI fit?

Mostly at the quantity step, with human review.

Start small

See what the AI reads on your own drawings.

Send one representative trade plan set. RenderDraw reviews it and follows up with what the AI extracted and what it flagged for review. Your files remain private while the request is assessed, and there is no obligation.

  1. Upload the plan set, legends and schedules, the spec sections for your scope and any addenda.
  2. RenderDraw reviews the set and the scope you want tested.
  3. We follow up with extracted quantities, flagged items and next steps.
